Privacy Policy

Aarhus Gamestormers is a hobby club, not a business. We store as little about you as we possibly can, we never sell your data, and we use no advertising or tracking services. This page describes exactly what we store, why, and what you can ask us to do.

Who is the data controller

Aarhus Gamestormers, represented by Kasper Krog Andersen. You can contact us about this policy or your data at kasper@gamestormers.dk.

What data we store

You can browse the site freely without logging in. We only store data about you if you log in with Discord to suggest a game or vote. In that case we store:

• Your Discord user ID, along with your username and avatar from Discord, so you can log in and see who you are.
• Whether you are a member of our Discord server, so that only members can suggest games and vote.
• The game suggestions you submit, including your short pitch and whether you chose to show your name on the suggestion.
• Your votes in a voting round, linked to your Discord ID so each member has one ballot per round.
• A login session (a random token, stored in hashed form) so you stay logged in.

What we do not store

To be completely clear:

• We do not request or store your email address. When you log in, we only ask Discord to confirm who you are and whether you are a member of the server.
• We do not store Discord's access token or the list of your other Discord servers. They are used for a moment during login and discarded immediately afterwards.
• We do not store your IP address.
• We use no web analytics, advertising trackers, or third-party tracking cookies.

Legal basis

Under the General Data Protection Regulation (GDPR), we process your data on the following grounds:

• Consent (Article 6(1)(a)): you choose to log in with Discord in order to take part. You can log out at any time, and you can ask us to delete your data.
• Legitimate interest (Article 6(1)(f)): we link your votes to your Discord ID so the vote is fair and each member has only one ballot per round.

Third parties

We do not share your data to make money. A small number of services are necessary for the site to work:

• Cloudflare hosts the site and the database. Cloudflare processes your IP address at the network level to deliver and protect the site, but we do not store it in our database.
• Discord handles your login. When you log in, we receive your Discord ID, username, avatar, and whether you are a member of the server. Discord's own processing of your data is governed by Discord's privacy policy.
• Steam is used only to fetch public information about a game (title, image, genres) when someone suggests a Steam game. No personal data is sent to Steam.
• When a new suggestion is submitted, or a winner is announced, we post a message in our own Discord channel with the game's title and, if you chose to show your name, your chosen display name. Your Discord ID is never shared publicly.

Cookies

How long we keep your data

Login sessions expire automatically after 30 days. Suggestions and votes are kept indefinitely for now, as part of the club's history. You can always ask us to delete your data, see below.

Your rights

Under the GDPR you have the right to:

• access the data we hold about you,
• have incorrect data corrected,
• have your data deleted,
• withdraw your consent (log out or write to us),
• object to our processing.

Write to kasper@gamestormers.dk and we will help you. Because everything is linked to your Discord ID, we can easily delete everything about you on request.

If you are unhappy with how we handle your data, you can complain to the Danish Data Protection Agency, Datatilsynet.

Age limit

The club is for people aged 18 and over, and you must be at least 18 to take part.

Changes

If we change this policy, we update the date at the top of the page. We also mention significant changes in our Discord server.
